Privacy notice
This notice explains how Stick Design uses personal information when you visit this website, get in touch, book a call or work with us.
This website
This website does not use cookies, analytics, advertising, tracking pixels or similar technology, and it does not store anything on your device. It has no forms.
Like any website, our web host, Cloudflare, Inc. (USA), automatically processes technical information (such as your IP address, browser type and the pages requested) to deliver the site and keep it secure. Cloudflare keeps these logs for a limited time under its own privacy policy.
When you contact us or book a call
You can contact us by email, by WhatsApp, or by booking a free intro call through our Google booking page. When you do, we receive the information you choose to send, usually your name, email address or phone number, your company (if any), and details, photos, drawings or measurements of your project.
- Email is handled by Google Workspace.
- Project files (drawings, photos, measurements and correspondence) are stored in Google Drive (Google Workspace).
- Bookings are handled by Google Calendar, and calls take place on Google Meet. Google's booking page collects your name, email address and any notes you add.
- WhatsApp messages are handled by WhatsApp (part of Meta). Your use of WhatsApp is also covered by WhatsApp's own terms and privacy policy.
What we use it for and why (lawful basis)
- Replying to enquiries and preparing quotes. If you are an individual, the lawful basis is steps taken at your request before entering into a contract. If you contact us on behalf of a company, it is our legitimate interest in responding to business enquiries.
- Carrying out the work: designs, drawings, revisions and project communication. Basis: performance of our contract with you, or our legitimate interest in working with your company and its staff.
- Invoicing, accounts and tax. Basis: legal obligation.
- Keeping project records, so we can deal with questions, revisions or claims later. Basis: our legitimate interest in defending our work and handling claims.
We don't sell your information, use it for advertising or make automated decisions about you. We will only send you marketing if you have agreed to it, or if the law otherwise allows it, and you can opt out at any time.
You don't have to give us personal information. However, we can't quote for or carry out work without basic contact and project details.
Who we share it with
We only share information where necessary, with:
- service providers who process it for us: Google (email, calendar, file storage), WhatsApp/Meta (messaging), our web host, our server provider Hetzner Online (Germany), and AI assistant tools that help us manage email and project files (Anthropic, OpenAI, OpenRouter and Composio);
- our accountant and professional advisers, and our insurer if a claim arises;
- people involved in your project, where you ask us to or it's needed for the work (for example your joiner or contractor);
- authorities where the law requires it.
Use of AI tools
We use AI assistant tools to help organise email, files and project administration. These tools may read the emails and project files you send us. They do not make decisions about you, and all design work and drawings are checked by us. Depending on their settings and terms, some providers may also use this information to improve their own services.
Who we are
Stick Design is the trading name of Tommy Chant, a sole trader, who is the data controller for the personal information described here.
Email: hello@stickdesign.co.uk
We work from Bangkok, Thailand, and provide joinery design services to clients in the United Kingdom.
International transfers
We work from Thailand, and some of our service providers are based in, or store data in, other countries, including the United States. This means your information will be handled outside the UK. Where UK data protection law requires it, we rely on appropriate safeguards, such as the providers' data processing terms that include the UK's approved transfer clauses, or on exceptions the law allows. You can ask us for more details.
How long we keep it
- Enquiries that don't lead to work: 12 months after our last contact.
- Project records, drawings, correspondence and invoices: 6 years after the project ends, then deleted.
- Booking details: as long as Google keeps them in our calendar, and no longer than the periods above.
How we protect it
Our accounts are protected with two-step verification, and we limit who can access project information.
Your rights
Under UK data protection law you can ask us to: give you a copy of your personal information; correct it; delete it; restrict how we use it; transfer it to you or someone else (portability); and you can object to our use of it where we rely on legitimate interests. Where we rely on your consent, you can withdraw it at any time. Contact hello@stickdesign.co.uk. We'll reply within one month.
Because we are based in Thailand, you may also have rights under Thailand's Personal Data Protection Act, and you can complain to Thailand's Personal Data Protection Committee (PDPC).
Complaints
Please tell us first if you're unhappy, and we'll try to put it right. You also have the right to complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint, 0303 123 1113.
Changes
We'll update this notice if how we handle information changes. Last updated: [[DATE AT PUBLICATION]].
